Students module¶
Why this matters¶
The Students module is for RCIC practices handling many study permit cases. Instead of treating each student as a generic applicant, this module brings specific structure: educational institution, academic program, start and end dates, tuition cost, required funds, acceptance evidence (DLI letters).
If your practice does 5-10 study cases a year, the Applicants module with custom fields is enough. If you handle dozens or hundreds, Students saves time and reduces errors.
What a Students record includes¶
Each student has the basic applicant fields plus:
- DLI (Designated Learning Institution) — the school approved by IRCC.
- Program — what major/diploma/certification.
- Study level — secondary, college, bachelor, master, PhD.
- Start date and estimated end date of the program.
- Annual tuition cost.
- Available funds (to demonstrate financial capacity to IRCC).
- Letter of Acceptance — attached file.
- Provincial Attestation Letter (if it applies for Quebec, Ontario, etc.).
- Authorized to work during studies — yes/no per the permit.
DLI school catalog¶
ImmCase can bring a catalog of Canadian DLIs with their official number, location, and type (private/public). When creating a Students case:
- Start typing the school's name.
- Autocomplete suggests catalog DLIs.
- Select — the school's data fills automatically (DLI #, province, city).
If the school isn't in the catalog, capture it manually and consider reporting it to your administrator to add.

Typical workflows in Students¶
The most common workflows:
- On Students case creation → generate document checklist based on country of origin and study level.
- On uploading Letter of Acceptance → move to "Documentation complete" stage and notify the consultant.
- 30 days before start date → reminder if not submitted to IRCC.
- On move to "Permit issued" stage → automatic congratulations to the student + reminder of dates for arrival in Canada.
Specific reports¶
The module brings pre-built reports:
- Students by DLI — how many cases per school.
- Approaching class start — those starting in the next 60 days.
- Approval rate by DLI — which schools have a better rate with IRCC?
- Average demonstrated funds — useful for budgeting conversations with future applicants.
Watch out for¶
- DLI numbers change or get revoked. If IRCC revokes a school's DLI, every study at that school has a problem. Periodically check IRCC's official catalog against your ImmCase catalog.
- Tuition costs change quickly. The field is filled at case creation but doesn't auto-update. If a year passes, verify the current cost before submitting.
- Provincial Attestation Letters (PAL) are required in some provinces and for some levels. ImmCase doesn't generate them — the province issues them. The field only stores a scanned copy.
